How do I onboard users to my Enterprise?

📝 NOTE: This article applies to Scriptation Enterprise — the subscription tier for studios managing devices, permissions, and onboarding at scale. The free and Industry Pro consumer tiers don't include a web-based Admin Portal.


To onboard cast and crew to a production, Scriptation Enterprise generates One-Time Links (OTLs) — 24-hour links that connect a user's device to a specific production. You can either have Scriptation send the OTLs in invite emails (recommended for most cases), or generate raw OTLs to distribute through your own channels.


📝 NOTE: Both flows are available to Enterprise Admins and Production Admins. For the role hierarchy, see Roles and permissions in Scriptation Enterprise.


Which option should I use?


  • Send invite emails — recommended for most onboarding. Scriptation sends each user a personalized email with their OTL. You can add a custom message, and Scriptation tracks who's accepted, who's pending, and who's expired.
  • Generate raw OTLs — use when you need to hand out links yourself (e.g. via a production app, custom email system, or Slack) and don't want Scriptation to send the email. You get a CSV of links to distribute.


OTLs from both flows work the same way on the user's device (iOS and macOS) and expire 24 hours after creation.


Option 1: Send invite emails


  1. Sign in to the Enterprise Admin Portal.


  1. Click Productions in the side menu.



  1. Click the production name you want to invite users to.



  1. Click + Invite.



You'll then choose how to add your invitees — manually or by CSV import.

  1. Click Add New.



  1. Enter the First Name, Last Name, and Email for each user.



  1. To add more users, click Add New again for each row.



Import invitees from a CSV


  1. Click Import from CSV.



  1. Select your CSV file. The CSV should match this template: InviteUsersListTemplate.csv


Send the invites


  1. (Optional) Modify the Reply-to and Support emails, and add a custom message to be included in the invite emails.



  1. Click Send, then Yes, send it!, then OK.



Each user receives an email containing your custom message (if any) and a One-Time Link that expires 24 hours after being generated. Tapping the link on their iOS or macOS device connects that device to your production in Scriptation.


Track invite status


After you send, the invite details are added to the Invite List at the bottom of the invite window. Each invite shows one of three statuses:


  • Accepted — the user clicked the link and activated Scriptation on their device.
  • Pending — the link hasn't been used yet and is still active.
  • Expired — the link wasn't clicked within 24 hours.



Option 2: Generate raw OTLs


Use this when you want to handle distribution yourself rather than have Scriptation send emails.


  1. Sign in to the Enterprise Admin Portal.


  1. Click Productions in the side menu.



  1. In the row of the production you're generating OTLs for, click the three dots () under the Actions column.



  1. Click + Create OTL.



  1. Select how many links to generate, then click Generate.



  1. Click Download links to download a CSV file containing your OTLs.



The first column of the CSV contains the links. Each link can only be used once and expires 24 hours after creation. Distribute them to your users via whatever channel you prefer.


✅ TIP: If you need to onboard users in waves over several days, generate a fresh batch of OTLs each day rather than handing out links that might expire before they're used.
